InovAnalytics is committed to protecting privacy and handling data responsibly. This Privacy Policy explains what information we collect, why we collect it, how it is used and protected, and the choices available to website visitors and platform users.

This policy applies to (i) visitors to our website and (ii) customers and authorised users of our platform. Where our customers use our InovAnalytics Platform to collect data from their survey respondents, the customer is primarily responsible for informing respondents how their data will be used and for obtaining any required consent.

Data Collection, Purpose, and Storage

Website Data Processing

When you visit our website, our servers automatically record limited technical information to operate the website, secure it, and understand basic performance and usage trends. This information may include:

  • Date and time of access
  • Pages/files accessed and the referring website (where available)
  • Data/file transfer size
  • Browser type/version and device/operating system information
  • IP address and Internet Service Provider (ISP) information (where available)
  • Proxy/server details (where applicable)

We use this information for security monitoring, fraud prevention, troubleshooting, performance improvement, and basic analytics. We do not attempt to identify you personally from this technical information unless needed for security investigations or to protect our systems and customers.

Data Processing at Customer Level

Data processing occurs at two levels:

  • Company-level processing (information we collect about customers and users to provide the service)
  • Customer-level processing (information our customers collect from their respondents using the platform)

Company Level Data Processing

The table below describes common information we collect from customers and platform users to create accounts, provide support, deliver the service, and meet administrative and security requirements.

Customer organisation (if applicable) Organisational account management, invoicing/receipting, and contractual administration.

Country and city Regional service support, billing administration (including currency and tax considerations where applicable), and service localisation.
Physical/postal address (if applicable) Invoicing/receipting and administrative records where required.
Customer survey data and customer content stored on the platform We provide storage and processing capabilities that enable customers to collect, store, analyse and export their survey data. Customer content may include text responses, numeric data, images, audio, GPS/location data, and other files depending on the customer’s survey design.

Access to customer content: We do not use customer content for our own purposes. We may access limited customer content only where necessary to provide the service (e.g., customer-requested support), to maintain platform security, to comply with law, or to investigate abuse. Any such access is restricted and handled under confidentiality.
Payment processing (credit/debit card) InovAnalytics does not store customers’ full credit/debit card details in our databases. Card payments are handled by accredited, PCI-compliant payment processors. We may receive limited transaction metadata (e.g., payment status, reference number) to confirm payment and support billing. Customer Level Data Processing (Survey Respondents)

Our customers use InovSurveys to collect data from survey respondents. In this context:

  • The customer determines what data is collected, the purpose, and the lawful basis for collection.
  • InovAnalytics generally processes respondent data on the customer’s instructions to provide the platform.
Data Processed Purpose / Reasons
Survey respondent information (as configured by the customer) Customers design surveys and determine the questions asked and the data collected. Depending on the survey design, respondent data may include demographic information, text responses, numeric data, images, audio, GPS/location coordinates, and other content. Customers are responsible for explaining the purpose of the survey and how the data will be used, and for obtaining any required consent.
Target population contact lists (optional, customer-provided) Some customers upload or manage contact lists to send survey invitations and track participation. This data is processed under the customer’s control and instructions.
Account user IP address and approximate location (audit trail) When account users perform actions in the system (e.g., create/update/delete operations), the platform may log technical identifiers such as IP address, time, and related security/audit information. IP-based location lookups (country/city/ISP) may be obtained via third-party services for security logging and fraud prevention. These logs are used for accountability, monitoring suspicious activity, and protecting customer accounts and data.

Customer Rights and Account Controls

InovSurveys customers and authorised users can manage their account information and data using built-in platform tools. Common controls include:

Edit/update account details Customers can update their profile and account information within the platform.
Export/backup collected data Customers can export survey data (e.g., CSV, Excel, SPSS where supported) and may export files such as images and audio collected through surveys. Exports enable customers to maintain independent backups in their own storage environments.
Restore backup data (where enabled) Where supported, customers may be able to restore account content from backups according to the platform’s available recovery options.
Recovery after accidental deletion (15-day window) Where backups exist, InovAnalytics may be able to assist with recovery of accidentally deleted data or accounts if contacted within the applicable recovery window. The current recovery window for account cancellation/deletion is up to 15 days, after which content may be permanently deleted.
Delete collected survey data Customers may delete survey datasets when they are no longer required, subject to the platform’s retention and backup practices described below.
Cancel/delete account Account owners (or authorised administrators) may request account cancellation/deletion. After deletion, customer content is removed from the live environment and may remain in backups for a limited period before permanent deletion, consistent with our backup and recovery practices.

Data Retention

We retain personal information only for as long as necessary to provide the service, meet legal/accounting obligations, resolve disputes, and enforce agreements. Customer survey data is retained according to the customer’s configuration and actions (e.g., deletion), and may persist in backups for a limited period as part of standard disaster recovery and business continuity practices (including the recovery window described above).

Data Security

We implement organisational and technical safeguards designed to protect information against unauthorised access, loss, misuse, alteration, or disclosure. These measures may include access controls, authentication, audit logging, secure transmission, and restricted internal access. No method of transmission or storage is 100% secure; however, we work to maintain appropriate security controls for the sensitivity of the data processed on the platform.

If we become aware of a security incident that affects customer data, we will investigate promptly and take appropriate steps to contain and remediate the issue, and notify affected customers where required by law or contract.

International Transfers

Depending on where customers, users, and hosting infrastructure are located, information may be processed in different countries. Where cross-border transfers occur, we take reasonable steps to ensure appropriate protections are in place consistent with applicable data protection requirements.

Cookies and Web Analytics

We use cookies and similar technologies to enable core site functionality and, where you consent, to measure and improve website performance and user experience. Cookies may process technical data such as IP address, device/browser information, and usage patterns.
